Employee Personal Information

The “Employee, Personal Information” Page is intended for administering an employee’s personal details.

Create new “Versions” to keep a historical record of changes to the Employee personal information.

An Employee cannot be totally removed/deleted from this Page, however it is possible to delete versions, so long at least one Version exists.

Emergency Contacts

Details of the person/s to be contacted in the case of emergency are recorded on the Emergency Contacts Page.

Empployee Job Information

The “Employee, Job Information” Page is intended for administering the employee’s job related information.

Create new “Versions” to keep a historical record of changes to the Employee job related information.

An Employee cannot be totally removed/deleted from this Page, however it is possible to delete versions, so long at least one Version exists.

Employment Events

Employment Events are events that occur throughout an employee’s life cycle.

Employment Events are used to in the “Job Information” page to describe and categorise changes to an employee’s job.

Employment Events also control an employee’s “Employment Status”.

Job Template

All employees are associated with a ‘Job Template’.

Job Templates are a templated role to which an employee is assigned.

The selected Job Template governs the Compensation Structure and Pay Rate for the employee.

Jobs Templates are administered using the ‘Setup > Job Templates’ Page.

Job Title

The ‘Job Title’ field allows you to assign a specific description of the Employee’s role.

For example an Employee may be assigned a Job called ‘Chef’, but their Job Title may be ‘Sous Chef’

Employment Basis

Employment Basis is the basis on which the employee is employed

Options include:

  • Full-Time Basis
  • Part-Time Basis
  • On-Demand (Casual Basis)

Compensation Plans

Compensation Plans are a framework used to structure Pay Rates.

Typically Compensation Plans govern Pay Rates based on factors such as skills, competencies and length of service.

In some jurisdictions Compensation Plans are a legislative requirement.

The selected ‘Job’ governs the Compensation Structure and Pay Rate for the employee.

There are 5 types of Compensation Structures, including:

  • Employee Level – Pay rates is assigned directly to the employee
  • Job Level, Strict – Pay rate is controlled by the Job
  • Job Level, Allow Override – Pay rate is defaulted from the Job, but can be changed at Employee Level
  • Compensation Plan – Pay rate is determined by the Compensation Plan associated with the Job
  • Compensation Plan, Allow Override – Pay rate is determined by the Compensation Plan associated with the Job, but can be overriden at Employee Level

Weekly Hours

Weekly Hours is the usual/typical number of hours that the employee works in any given week.

The Weekly Hours for employees that work on a Full-Time basis defaults from the settings on the Account (Setup > Account Defaults).

Weekly Hours for ‘Part-Time’ employees should be manually entered.

Employees that work on an ‘On-Demand’ basis default to zero Weekly Hours.

Rate Frequencies

Rate Frequencies are used to specify the time period for which a pay rate applies

For example: If the Pay Rate is $20 and the Rate Frequency is ‘Hourly’, the employee is paid $20 for each hour they work.

The “Hourly Factor” is used to convert the frequency to “Hours”. How many hours does the frequency include?

Attributes

Attributes may be assigned to Employees and Employee Jobs to:

  • Add Information
  • Tag/Identify
  • Categorise

Attributes may used for a variety of purposes, including:

  • recording information (e.g. employee membership numbers)
  • identification of information to include in reports
  • facilate payroll processing logic
